Position Overview:
Major Functional Responsibilities:
- Administer contract process to ensure all deals comply with Texas Real Estate Law, our Administrative Control Procedures and start process
- Prepare all closing packages for the attorneys with required documents
- Maintain good working relationship between Starlight Homes and various lenders and attorneys to process all sales to closing
- Maintain all closing files and corresponding paperwork
Key Duties:
- Set up and maintenance of all contract files from start to close
- Review submitted contracts to ensure all deals comply with Texas Real Estate Law and our Administrative Control Procedures and start process
- Follow-up with sales agents for any necessary clarification or missing information on submitted contracts
- “Accept” contracts in Dynamic Builder
- Enter contract information into Dynamic Builder
- Copy and distribute all contract items to appropriate parties
- Review, copy and distribute 7-day hold contracts
- Process all addendums and spec paperwork and distribute to necessary parties
- Maintain accurate backlog information on the Title Close Report from Dynamic Builder and Follow-up with Lenders for status of loans
- Attend weekly Backlog meetings
- Review of all settlement statements for accuracy with contract file
- Follow-up with Closing Attorney on all contract documentation
- Order termite letter and warranty forms for closings
- Update closing calendar and distribute to sales agents, Closing Attorney and Lender
- Audit and prepare closing contracts with updated information for Lender and Closing Attorney
- Prepare closing packages
- Communication with Project Managers for certificates of occupancy for all homes closing
- Communication with co-op realtors, on-site sales, lenders and purchasers for all closing issues
- Enter closing dates into Dynamic Builder after close of home
- Close out file with signed closing documents, copy and distribute accordingly
- Other duties as assigned
Desired Candidate Qualifications:
- Four (4) year degree from accredited college or equivalent job-related experience
- Ability to multi-task and prioritize several tasks without compromising quality of work or mission deadlines
- Ability to review, analyze and interpret information as well as trouble-shoot to solve problems
- Proficient in Word, Excel, and Outlook
- Knowledge of Business English and ability to communicate patiently and professionally with both internal and external customers both orally and in writing
- Knowledge of sales/closing process
- Strong interpersonal skills
Typical Physical and Mental Demands:
- Must be able to read, write, and speak fluently in English. Must be able to perform calculations.
- Employees in the position are required to be able to hear and have vision sufficient to utilize all office equipment.
- Use of hands and fingers is required to utilize standard office equipment.
- Requires occasional lifting up to 20 pounds.
